Agreements and protocols
Rental agreements and handover protocols signed on a tablet
Upload your agreement template in Word, and Librent fills it in with the customer's details, the equipment list and the amounts from the booking. At handover and return the customer signs with a finger and gets the signed PDF by email.
Paper agreements at the counter
Copying details by hand
Name, ID number, equipment list, dates, deposit. By hand on every agreement, and a typo in a serial number only shows up in a dispute.
A binder instead of a history
You hunt for a protocol from three months ago because the customer says the tripod was already scratched at pickup.
The customer wants a copy
You photocopy, scan or photograph it with your phone, one copy for the customer and one for the binder.
How Librent handles documents
Your Word template
Upload your own .docx with fields for customer details, the equipment table, dates and deposit. Edit the template in the browser and add your own fields, e.g. a bank account number.
Finger signature on screen
Staff sign first, then the customer, on a tablet or phone at the counter. The signature goes into the PDF with the date.
PDF to the customer's inbox
Once both sides have signed, Librent emails the PDF to the customer in their language. Files are encrypted and stay with the booking.
Order and status
You can generate the handover protocol only after the agreement, and the return protocol only after handover. Once signed, the rental status changes to handed over or returned.

Frequently asked questions
Does Librent come with a rental agreement template?
No. Rental terms differ between businesses, so you upload your own template in Word format (.docx). You add fields to it, and Librent fills them with booking data.
Is this a qualified electronic signature?
No. It is a handwritten signature drawn on screen and saved in the PDF with the date, like a signature on a paper protocol. It does not replace a qualified electronic signature.
Can the customer sign remotely?
No. The customer signs on a device at your counter, at pickup and at return. They get the signed PDF by email afterwards.
Where are signed documents stored?
With the booking in Librent. Files are encrypted, and a signed document cannot be deleted. Generating and signing show up in the activity log.
